Honpain Technologies ("we," "us," or "our") is committed to protecting the privacy and security of your payroll information. This Privacy Policy explains how we collect, use, disclose, and safeguard your personal and sensitive payroll information when you use our Payslip Distribution System (the "Service").
2. Information We Collect
2.1 Information Provided by Administrators
- Account Information: Username, email address, first name, and last name.
- Organisational Information: Details about the organisation using the Service.
- Employee Data: Employee names, IDs, email addresses, department affiliations, and other data necessary for payslip distribution.
- Uploaded Payslips: PDF files containing detailed payroll information including earnings, deductions, and taxes.
2.2 Information Provided by Employees
- Account Information: Username, email address, first name, and last name.
- Profile Information: Any additional information provided in the employee portal.
2.3 Information Collected Automatically
- Usage data: access times, features used, pages visited.
- Device information: IP address, browser type, operating system.
- Session cookies and similar tracking technologies.
3. How We Use Your Information
- To provide and maintain the Service, including secure upload, processing, and distribution of payslips.
- To enable employees to securely access their payslip history via the Employee Portal.
- To manage user accounts and provide customer support.
- To monitor usage for security and proper functioning of the Service.
- To comply with applicable laws and regulations in Papua New Guinea.
4. Disclosure of Your Information
We will limit disclosure of payroll information to: your organisation's authorised administrators and the individual employee; trusted third-party service providers contractually obligated to maintain confidentiality; legal requirements under PNG law; and with your explicit consent.
5. Data Retention
We retain personal and payroll information as required by Papua New Guinean law. Payroll records are retained for a minimum of 7 years. Refer to our Data Retention Policy for full details.
6. Security
We implement AES-256 encryption (in transit and at rest), firewalls, strict access controls, and regular security audits to protect your data.
